What is a school management system?

A school management system is software that holds a school's pupils, staff, classes, attendance, grades, fees and communication in one database and automates the work around them, from marking a register to emailing a report card. Modern systems add payroll, safeguarding, exams and AI assistance, and give parents and students their own apps.

The core is a student information system: pupil records, guardians, classes and staff with role-based access. On top of that sit the operational modules: attendance, timetable, grading and report cards, fees and receipts, communication with parents, and increasingly payroll and safeguarding.

The test of a good system is whether these modules share one record. If a payment in the fees module does not show on the same pupil the class teacher sees, or payroll needs staff re-entered, you have several tools in a trench coat, not a system.

Judge a system on the Monday morning jobs, not the feature list.
